Conference Assistants

As a part of the Student Housing & Residential Life Department, Conference Services coordinates the housing, dining and space reservations for nearly 10,000 guests annually.  A variety of camps, conferences and workshops utilize the University of Houston and therefore our primary goal is to provide superior customer service.  The Conference Assistants play a large part in attaining this goal since they are often the first point of contact once our guests arrive on campus.

The Conference Assistant (CA) staff are paramount to the success of summer programs at UH and truly serve as ambassadors.  The experiences that our guests have on campus help those not yet a part of the UH family to see all that they are missing!  We are looking for students who want hands on experience in a position that is different each day.  Our top-notch CA staff are dedicated, hard-working and take pride in each task. 

The Conference Assistant position is divided into the categories listed below.  Each position provides support for a specified area of summer conference operations. Summer conferences has expanded and will be held in Cougar Place, Cougar Village 1, Cougar Village 2 and Moody Towers.

Duties

Guest Assistants

  • Provide support that assists in preparation of floors before conference arrivals, key and guest card packets
  • Assist with the check-in/check-out process of guest groups
  • Enforce all University policies as listed in the Student Handbook and Conference Policies
  • Create and maintain up-to-date bulletin boards, flyers, and informational poster for guests
  • Respond to crisis or routine situations as the first line of response for SHRL
  • Participate in on-call rotation with fellow Conference Assistants
  • Work 6 hours weekly at the residential area front desk 

 Linen Crew

  • Coordinate all aspects of linen packet production, delivery and collection. On occasion, delivery may entail also making beds and will entail sorting/collecting soiled linens.
  • Conduct thorough room inspections before guest arrival
  • Ensure established laundry pick-up and drop off schedule is maintained
  • Work 6 hours weekly at the residential area front desk

Special Programs at Cougar Place

  • Provide support that assists in preparation of floors and building access cards before guest arrival
  • Assist with the check-in/check-out process of guests residing in Cougar Place
  • Participate in a calling campaign to contact students regarding their housing intentions
  • Respond to crisis or routine situations as the first line of response for SHRL
  • Participate in on-call rotation with fellow Conference Assistants
  • Assist with furniture inventories and IT walks in various SHRL facilities
  • Work 4 hours weekly at the Cougar Place front desk

Cougar Mover Crew Leader 

  • Serve as a Cougar Mover Crew Leader lead for a specific residence hall during Move-in Week
  • Plan and hold training for move-in volunteers known as Cougar Mover Volunteers who include UH staff, faculty, sponsors and students
  • Manage and update volunteer sign-up via online registration forms and implement ideas to improve efficiency in Cougar Mover Volunteer experience
  • Foster relationships with Residence Life Coordinators and serve on Cougar Mover subcommittee
  • Work 6 hours weekly at the residential area front desk
  • Perform other duties as assigned

Facilities Assistant

  • Provide quality inspection in the preparation of occupied rooms before conference arrivals
  • Assist with linen distribution/collection and access management when needed
  • Inspect and ensure that reserved classroom spaces are clean and ready for use
  • Assist with administrative tasks associated with access management
  • Ensure the Calhoun Lofts guest suites are suitable for occupancy
  • Aid in converting conference spaces into residential spaces
  • Work 6 hours weekly at the residential area front desk

Desk Assistant

  • Maintain daily desk operations at designated residential area Monday – Friday including delivering excellent customer service & role model appropriate behavior at all times
  • Assist with any and all tasks related to Conference Services while maintaining a consistent presence at the front desk area
  • Support with check in/check-out process when needed
  • Respond to & report guest concerns to supervisor
  • Candidates must have two semesters of DA experience to be eligible

Senior Staff

  • Provide administrative support to conference guests and assistance to professional staff
  • Assist in the management of building access for guests (i.e. work orders, auditing keys as well as access card programming)
  • Assist with the check-in/check-out process of guests residing in conference housing during select weekends and small deskcheck-ins
  • Respond to crisis or routine situations as the first line of response for SHRL
  • Assist with front desk package distribution
  • Support RLC as second line of supervision for Linen Crew
  • Work 30 hours weekly in residential offices inclusive of 6 desk hours

Qualifications

  • Applicants must be a University of Houston student at time of employment. Preference will be given to students who currently reside in university managed housing or have a Fall 2018 assignment.
  • Attendance at an info session (January 23rd at 6pm, January 25th at 7pm, January 29th at 5:30pm or January 31st at 3pm). All information sessions will be held in Cougar Village 1, N113 (exterior classroom facing Cougar Village 2)
  • Cumulative University of Houston GPA of 2.5 or higher prior to and throughout the time of employment
  • Good standing with Student Housing & Residential Life at time of hire and throughout employment
  • Meet all requirements of living on-campus as determined by Student Housing & Residential Life (and must sign a Housing Agreement and maintain on-campus residency in an assigned room throughout employment)
  • Ability to commit to taking no more than 3 credit hours per summer term OR working no more than 15 hours per week during the time of employment. Note: Senior Conference Staff applicants are only permitted to take online classes only.
Compensation
  • Conference Assistants and Cougar Mover Crew Leaders shall receive a compensation package that includes a single room with a shared bathroom and $420 monthly stipend paid in monthly installments.   • Senior Conference Staff shall receive a compensation package that includes a single room with a private bathroom, $420 monthly stipend paid in monthly installments and a partial meal plan. Please consult financial aid in advance to learn whether this compensation might have any effects on any financial aid.
Position Commitments
  • Position will require approximately 20 hours per week and residence in a university managed property
  • Senior Conference Staff positions will require 30 hours per week and a commitment to take online classes only.
  • All students offered a position will be unable to work at any second on-campus position during the time of employment
  • Must be willing to work a flexible schedule including weekdays, evenings and weekends
  • Attend a weekly meeting on Wednesdays at 4:00pm
  • Ability to attend two mandatory administrative sessions in April and be available to work May 15, 2018 through August 4, 2018
  • Attendance at training is mandatory and will take place May 15-18, 2018

Dates and locations for the information sessions can be found on the Student Housing & Residential Life website.  Applications will be available via MyHousing portal online beginning Tuesday, January 23, 2018 through noon on Friday, February 2, 2018.  Late or incomplete applications will not be considered.  Those who receive an offer to interview will receive an email by February 8, 2018 with scheduling instructions.
